Guys, it’s October already. How did this even happen? The silly season is upon us and if you’ve suddenly been overwhelmed with the task of putting together a work Christmas party, engagement function, Hen’s night or birthday celebration for those unfortunate December babies, then you may want to keep reading.

Jenni Bentley is Little Valley’s Functions & Events Manager. As an industry professional with 7+ years experience in events ranging from large-scale client events to weddings, Jenni’s no-nonsense approach to coordinating always results in a satisfied client and makes her an invaluable part of the Little Valley family.

In short, Jenni really knows what she’s talking about, and we’re grateful to her for sharing some of her wisdom with us for this post.

Timing

What’s that old saying? Perfect planning prevents poor performance. There’s a reason why we keep saying it. Planning is key. Allow yourself at least 5-6 weeks to plan, send invites and make sure everyone is free to join your celebration. There’s always a little more to pulling off a great event than you might initially anticipate, but having some lead time up your sleeve always allows you the room to get in front of it early with a minimum amount of stress.

Occasionally, you’ll be thrown in the deep end with an event with a short amount of lead time. Don’t panic! These can be still be pulled together quickly with the assistance of a coordinator like myself. That’s what we do, so don’t feel daunted by the thought of asking for some help.

“Our Chinese-style canapés are a cut above the usual function fare, delicious and easy to eat while nursing a drink in the other hand (think oysters, dumplings, Bao and steamed pork buns).”

Food

No one likes going hungry or wanting to leave the party to find some food. There’s nothing pretty about being dolled up with a kebab in hand. It reflects well on a host to ensure your guests have ample food, so they're not looking over their shoulder for the next platter.

The beauty of a venue like Little Valley is that we have a fully-staffed restaurant team and a function food menu that easily caters for both standing and seated functions. Our Chinese-style canapés are a cut above the usual function fare, delicious and easy to eat while nursing a drink in the other hand (think oysters, dumplings, Bao and steamed pork buns).

A strong function food menu will keep the dietary needs of guests in mind and offer a selection that factors in a gluten or dairy intolerance, as well as vegetarian and vegan options.

“Is the travel time and cost a wedge between your guests celebrating with you? Don’t let it be.”

Location

It almost goes without saying that location is one of the biggest factors in choosing a venue for your next event or function. Unless it’s a destination wedding that your guests have committed to well in advance, you’re going to want to confirm a venue that’s easy to get to in an Uber, or with ample parking and public transport options nearby.

Is the travel time and cost a wedge between your guests celebrating with you? Don’t let it be.

“you want a venue experience that will allow your guests to walk into a space that instantly impresses and makes them relaxed”

Atmosphere

Possibly one of the most overlooked aspects of picking a venue is one that has a good ‘vibe’. Why? Because ‘vibe’ isn’t something that you can accurately measure from looking at a function pack. It’s made up of so many different factors. From the ambience of a room through to the quality of service, you want a venue experience that will allow your guests to walk into a space that instantly impresses and makes them relaxed.

Arrange a site inspection of the venue in advance, or better still (if you can), visit the business as a patron. You’ll know right away whether it’s the venue for you.

“The chosen venue is likely to have hosted many events prior to yours, so don't be afraid to ask questions along the waY.”

Experience

Having a coordinator that offers suggestions, guides you through the process, and helps you along the way will make the planning stages nice and smooth for you. Knowing your bar and wait team will look after you and your guests will make sure everyone has a memorable experience for all the right reasons.

The chosen venue is likely to have hosted many events prior to yours, so don't be afraid to ask questions along the way. We're here to help. It's what we do and we pride ourselves on doing it well!
